School Leadership Team Coaches

A School Leadership Team Coach facilitates School Leadership Team efforts to effectively implement and sustain the use of MTSS/SWPBIS.

Overview

The School Leadership Team Coach is responsible for ensuring that the school leadership team takes the necessary steps to implement and sustain school-wide MTSS/SWPBIS. This page provides detailed information and resources to support school systems coaches in their coaching roles. For more information on the full scope of a district coordinator’s responsibilities, see School Leadership Team Coach Job Description under Tools and Resources on the right-hand side of this page.

Data Review Resources

Coaches play a critical role in supporting the School Leadership Team in their review of school-wide data within a continuous improvement process. Coaches use a Coach’s Checklist to help them prepare for Elementary or Secondary Data Review. The checklist prompts the coach to carefully consider where the School Leadership Team should focus its attention (e.g., Tier 1 Behavior supports). A number of different Data Review Worksheets are available for the coach to select from to structure their team’s data review. The coach uses the guidance below to assist in selecting a worksheet for their team based on their focus (Integrated MTSS or SWPBIS) and their current year within their training scope and sequence. The coach’s checklists and each worksheet can be found under Tools and Resources on the right-hand side of this page.

Integrated MTSS Worksheets

Year 2 Winter

We recommend using the Tier 1 Behavior worksheet because your school has just started to implement Tier 1 of SWPBIS. Your team will still have a chance to review Tier 1 Reading data and the status of Tier 1 Reading installation activities and to identify any barriers to moving this work forward that need to be addressed by the DIT, but your team’s formal data review should stay focused on what your school has started to implement: Tier 1 of SWPBIS.

Year 2 Spring, Year 3 Fall

We recommend focusing on Tier 1 Integrated Reading/Engagement and Behavior for problem solving because this is the second or third data review for your team, and your school has likely started to implement at least some of the Tier 1 Reading components (e.g., universal screening, teaming processes). The Tier 1 Integrated worksheet will examine the same behavior data as the Tier 1 Behavior worksheet but will also fold in reading student outcome and fidelity data, along with engagement outcomes at secondary. Your team will still have a chance to review Intervention System data and the status of the Intervention System installation activities, and to identify any barriers to moving this work forward that need to be addressed by the DIT, but your team’s formal data review should stay focused on what your school has started to implement: Tier 1 of School-wide PBIS and Tier 1 of School-wide Reading/School-wide Content Area Reading.

Year 3 Winter and Beyond

If your school can answer yes to both of the questions below, then this indicates that your school has established strong Tier 1 supports in both reading and behavior and the SLT is ready to turn its attention to a formal review of data specific to the Intervention System using the Intervention Systems worksheet.

  1. Are your Tier 1 Fidelity scores for Reading and Behavior at or near criterion?
  2. Are you starting to see improvements in student outcomes for reading/engagement and discipline referral rates that are below the national median or moving in a downward trend toward the national median?

If this is your team's first time using the Intervention System worksheet, you may want to consider narrowing your team's focus to only reading or behavior intervention supports and then expand to include both types of support in future data reviews.

If the answer is NO to either or both questions (and data appear accurate), then we recommend continuing to utilize the Tier 1 Integrated worksheet because a strong Tier 1 is critical to being able to adequately support your Intervention System. It is important to keep focusing on Tier 1 until both fidelity and student outcome data are looking strong. If Tier 1 fidelity scores are at or near criterion, but your school is not seeing improvements in student outcomes, your team may need to focus on a more thorough analysis of (a) Tier 1 SWPBIS using the PBIS Cultural Responsiveness Field Guide and/or (b) classroom implementation variables at Tier 1 (e.g., teaching and monitoring of classroom expectations and routines, implementation of the core reading program, use of a common set of content area reading strategies).

Special circumstances: If there has been a major turnover on your School Leadership Team, and your team needs to relearn the data review process, your team may elect to complete the Tier 1 Behavior worksheet at its first data review as a new team. Subsequent data reviews should follow the guidance noted above.

PPSC Worksheets

Year 2 Winter, Spring

We recommend using the PPSC Tier 1 Behavior worksheet because your school has just started to implement Tier 1 of SWPBIS.

Year 3 and Beyond

If your school can answer yes to both of the questions below, then this indicates that your school has established strong Tier 1 supports in behavior and the SLT is ready to turn its attention to a formal review of data specific to the Intervention System using the PPSC Intervention Systems worksheet.

  1. Are your Tier 1 Fidelity scores for Behavior at or near criterion?
  2. Are you starting to see discipline referral rates that are below the national median or moving in a downward trend toward the national median?

If the answer is NO to either or both questions (and data appear accurate), then we recommend continuing to utilize the PPSC Tier 1 Behavior worksheet because a strong Tier 1 is critical to being able to adequately support your Intervention System. It is important to keep focusing on Tier 1 until both fidelity and student outcome data are looking strong. If Tier 1 fidelity scores are at or near criterion, but your school is not seeing improvements in student outcomes, your team may need to focus on a more thorough analysis of (a) Tier 1 SWPBIS using the PBIS Cultural Responsiveness Field Guide and/or (b) classroom implementation variables at Tier 1 (e.g., teaching and monitoring of classroom expectations and routines).

Special circumstances: If there has been a major turnover on your School Leadership Team, and your team needs to relearn the data review process, your team may elect to complete the PPSC Tier 1 Behavior worksheet at its first data review as a new team. Subsequent data reviews should follow the guidance noted above.

Coaching Service Delivery Plans

A coach’s use of data to inform supports to the School Leadership Team will increase the likelihood that the team will continue to implement with fidelity and that the work will be sustained. A Coaching Service Delivery Plan (CSDP) outlines the concepts that will be intentionally coached, the continuum of coaching strategies to be used, types of information that will be used to determine the effectiveness of the coaching, the frequency of coaching, coach preparation and guidelines for providing feedback to the team. The development of a CSDP allows for differentiated coaching supports based on the team's stage of implementation and context. We have created Coaching Concepts and Methods (see the Tools and Resources sidebar)  which outline the concepts to be coached at the School Level. Step by step directions for developing the CSDP are also provided.

This video provides a brief overview of how to develop and use an individualized Coaching Service Delivery Plan:

Individualized Coaching Service Delivery Plans for School Leadership Team Coaches

Year 2

Beginning in the Fall of Year 2, School Leadership Team Coaches, with support from their Coach Coordinator, develop an individualized coaching service delivery plan (CSDP) to guide supports to their team. This plan will be developed based on data. The Coach Coordinator will provide initial modeling about how to identify concepts using data, and how to develop an individualized plan. The initial plan will be framed around Tier 1 SWPBIS.

Consider the recommendations listed below when determining the are to focus coaching supports.

  • Fall Year 2: Tier 1 SWPBIS
  • Fall Year 3: Tier 1 Reading (Integrated Model) or Behavior Intervention Systems (PPSC)
  • Fall Year 4: Integrated Intervention Systems (Integrated Model)
